These Privacy Policy rules take effect on January 1, 2026.

Contract Conclusion and Performance (registration, invoicing, organization):

  • Data: Name, surname, date of birth, address, e-mail, phone, payment details, optionally clothing size or dietary preferences.

  • Legal basis: Performance of a contract (Art. 6(1)(b) GDPR)

  • Retention period: Duration of the contract + 5 years (tax and accounting obligations)

Payment Records and Issuing Tax Documents:

  • Data: Name, surname, address, payment details

  • Legal basis: Legal obligation (Art. 6(1)(c) GDPR)

  • Retention period: 10 years from the date of issuance

Sending informational e-mails about your Camp (confirmation, program changes, practical information):

  • Data: Name, e-mail

  • Legal basis: Legitimate interest (Art. 6(1)(f) GDPR) – necessary communication for contract fulfillment

  • Retention period: Duration of the contract + 1 year

Marketing (sending news about other BVHL camps) – only if you give consent:

  • Data: Name, e-mail

  • Legal basis: Consent (Art. 6(1)(a) GDPR)

  • Retention period: Until consent is withdrawn

Website improvement and analytics (cookies):

  • Data: IP address, browser data, behavior on the website

  • Legal basis: Consent (Art. 6(1)(a) GDPR) or legitimate interest for essential technical cookies

  • Retention period: Technical cookies – session only; analytical cookies – up to 24 months

  • Registration system provider as a processor

  • Payment gateways and banks for processing payments

  • Accommodation providers and partners at the Camp – only necessary data (name, dietary preferences, etc.)

All processors are bound by a Data Processing Agreement.

5. Transfer of Data Outside the EU

If the Camp takes place outside the EU and data must be shared with local partners (e.g., accommodation), it may be transferred to a third country. In such cases, we ensure appropriate safeguards (standard EU contractual clauses).

As a data subject, you have the right to:

  • Rectify inaccurate data

  • Request deletion ("right to be forgotten") – if we no longer need the data

  • Restrict processing

  • Data portability
